Budget

Information about preparing the event budget is available on the Event Administration page. This includes an event budget calculator and a claim form for expenses.

Safety

A safety plan needs to be prepared for your Rogaine. The following documents provide a starting point: In addition, the Victorian Rogaining Association has a comprehensive search and rescue procedures manual on their Resources page.

The Safety Officer on the Committee can assist with Safety Plan preparation.

A copy of the Safety Plan should be sent to National Parks (if their land is used), the nearest Police Station and the nearest Hospital prior to the event.

Volunteers and community resources

Determine how many other volunteers your event will require and when they are needed. The Volunteer Coordinator can help you determine how many volunteers you need, and find people for the jobs. Typical volunteer numbers vary depending on the type of event.

You may be able to use local organisations, e.g. the local bush fire brigade, Red Cross or Rotary group, to fill some volunteer roles.

Sometimes St Johns Ambulance is hired to provide first aid at events.

Equipment

Most of the equipment is stored in two trailers: the hash house trailer and the admin trailer. The hash house trailer includes tables, gas bottles and stoves, cooking utensils & weapons, cleaning materials, water bottles. The admin trailer (known as "Elvis") includes administration, safety and general site equipment: signs, pens and paper, result hangers, bunting, loud hailer, first aid kits, spare batteries, Epirbs.

Some equipment is also stored elsewhere, including the flags and navlights. Other items of equipment are also available when needed. A list of other items can be found here: Extra equipment January 2004 . A 1000 L plastic water tank is also now available.

Elvis is easily towed. The hash house trailer requires a larger vehicle and some towing experience. Julian Ledger has prepared some advice on getting the hash house trailer to and from the event, unpacking and packing it: Trailer instructions
